Administrative support role tasks

The following is not an exclusive task list but includes the main tasks for the role of administrative support.

Trust

Schedule meetings/ Keep a diary of trustee meetings
Co-ordinate meetings including sending out papers, requesting agenda points
Ensure that documents are shared in a timely manner
Keep a minute of meetings including a schedule of action points
Maintain those files associated with the business of the Trust as requested by the Trustees
– This will include supporting a manager to lodge formal documents with Companies House and OSCR

(You will be required to attend meetings which may be at times other then your scheduled working time.)

Care and Support

Support the care team to maintain resident files by filing paper work and correspondence
Take notes of meetings including reviews as requested
Scheduling reviews as requested by a senior co-worker
Maintain residents diary including checking expected actions against actual actions
Monitoring benefits incoming and informing a senior co-worker of any discrepancies
Corresponding with the benefits agencies as instructed by a senior co-worker
Maintaining client account records

Co-workers

Supporting the senior Co-workers to maintain Co-worker records by filing and issuing paperwork as instructed
Supporting co-workers to maintain their personal training records and recording any training in central log
Schedule training as requested by senior co-workers

Finance

Aid finance manager
Monitor direct debits and utility supplies
